Certain categories require additional review, documentation, packaging, training, equipment, or written agreements, and Vital Freight may decline any request that falls outside its approved service capabilities.
Who can request service?
We work with businesses, healthcare organizations, pharmacies, practitioners, care facilities, home healthcare providers, caregivers, and residential clients. Residential medication or healthcare deliveries may need to be coordinated through an authorized pharmacy, provider, organization, or sender.
What areas do you serve?

Can you transport prescription medications?
We may accept approved medication deliveries coordinated through authorized pharmacies, providers, facilities, organizations, or recipients. The medication must be properly packaged, labeled, and released for transportation by the appropriate sender. Vital Freight does not prescribe, dispense, verify dosage, or provide medication advice.
Do you transport laboratory specimens or regulated materials?
Vital Freight accepts only the categories it is trained, equipped, insured, and authorized to transport. Requests involving infectious, hazardous, biological, or regulated materials require advance review and may require specialized packaging, labeling, documentation, and written approval. Who is responsible for packaging the item?
Unless a separate written agreement says otherwise, the sender is responsible for using packaging that is appropriate, secure, correctly labeled, and compliant with the item's transportation requirements. Will I receive proof of delivery?

How is pricing determined?
Pricing may depend on pickup and delivery locations, total mileage, requested timing, urgency, item size and weight, waiting time, facility access procedures, special handling, additional stops, after-hours service, and recurring frequency. A price is not final until Vital Freight provides and approves the quote or service agreement.
What happens if the recipient is unavailable?
We follow the approved contact and delivery instructions. Additional waiting, return, redelivery, storage, or route charges may apply. Items will not be left unattended unless the sender has authorized that method and Vital Freight has accepted it.
Can I cancel or reschedule a delivery?
Yes, but fees may apply once a delivery has been confirmed, assigned, or dispatched. See the Cancellation and Rescheduling Policy below.
Can I include patient information in the website contact form?
No. Do not enter patient names, diagnoses, medical record numbers, prescription details, Social Security numbers, or other protected or sensitive information into the general website form. We will provide appropriate instructions if sensitive information is necessary to coordinate an accepted service.
Does submitting a form schedule my delivery?
No. Website submissions, emails, phone messages, and quote requests are requests for review. A delivery is scheduled only after Vital Freight confirms acceptance, timing, requirements, and pricing.
Is Vital Freight an emergency medical service?
No. Vital Freight transports approved items and does not transport patients or provide emergency medical services. Do not use the website or contact form during a medical emergency. Call 911.

Delivery and Service Policy

Effective Date: July 12, 2026

1. Purpose

This policy explains the general requirements for requesting and receiving transportation services from Vital Freight LLC. Specific quotes, contracts, business associate agreements, route agreements, or written service instructions may contain additional terms. When a signed agreement conflicts with this general policy, the signed agreement will control.

2. Service Requests

Clients should provide accurate information about the item being transported, pickup and delivery addresses, requested dates and times, sender and recipient contacts, item size, quantity and weight, packaging and labeling, facility access requirements, special handling instructions, temperature requirements, hazards or regulated characteristics, and documentation requirements. Vital Freight may request additional information before accepting the assignment.

3. Service Acceptance

Submitting a request does not require Vital Freight to accept it. A delivery is accepted only after Vital Freight confirms service availability, the item category, pickup and destination, required timing, packaging requirements, special instructions, pricing, and any additional documentation or agreement. Vital Freight may decline a request at its discretion when the item, route, packaging, timing, risk, or requirements fall outside its approved service capabilities.

4. Client Responsibilities

The client is responsible for providing complete and accurate information, identifying the correct sender and recipient, confirming that the item may be legally transported, obtaining required permissions, preparing appropriate packaging and labeling, disclosing handling/hazard/temperature requirements, ensuring the item is ready at the agreed pickup time, providing access instructions, paying applicable charges, and informing Vital Freight promptly of changes. Vital Freight is not responsible for delays or losses caused by incomplete, inaccurate, or withheld information.

5. Pickup and Delivery Windows

Pickup and delivery times are estimates unless a written agreement expressly guarantees a specific time. Traffic, road closures, weather, facility delays, security procedures, recipient availability, mechanical problems, emergencies, and other circumstances outside Vital Freight's reasonable control may affect timing.

6. Authorized Handoffs

Clients must identify the person, department, receiving location, or process authorized to release and accept the item. Vital Freight may decline to release an item when the recipient cannot be verified, required identification is unavailable, the receiving location is closed, access is denied, instructions conflict, or the handoff appears unsafe or unauthorized.

7. Delivery Confirmation

Available confirmation methods may include recipient name, electronic or written signature, completion time, status notification, photograph, delivery notes, or other agreed documentation. The confirmation method must be established before service when a specific form of proof is required.

8. Waiting Time

Waiting-time fees may apply when a driver is delayed because the item is not ready, access has not been arranged, the sender or recipient is unavailable, security or receiving procedures exceed the included time, information or approval is missing, or loading/unloading requires additional time. The applicable waiting period and rate should be listed in the quote or service agreement.

9. Additional Stops and Route Changes

Unplanned stops, address changes, return trips, redelivery, additional mileage, or route changes may result in additional charges. The driver should not be asked to change the destination or release an item to a different recipient without authorization from the appropriate client contact.

10. Failed or Unsuccessful Delivery

If delivery cannot be completed, Vital Freight may contact the client, wait for additional instructions, return the item, attempt redelivery, deliver to an approved alternate recipient, or follow an agreed contingency plan. Additional charges may apply.

11. Delays Outside Vital Freight's Control

Vital Freight is not responsible for delays caused by events outside its reasonable control, including severe weather, traffic incidents, road closures, government actions, civil disturbances, utility interruptions, facility lockdowns, security procedures, inaccurate addresses, or unavailable recipients. We will communicate material delays when reasonably possible.

12. Right to Refuse or Stop Service

Vital Freight may refuse, suspend, or stop a delivery when information is inaccurate or incomplete, the item differs from what was disclosed, packaging appears unsafe or inadequate, the item leaks/breaks/creates a hazard, transportation may violate a law or regulation, required payment or authorization is missing, safety may be at risk, or the request falls outside approved company capabilities.

Packaging and Special Handling Policy

Packaging Requirements

Unless otherwise stated in a signed agreement, the sender is responsible for packaging and labeling the item. Packaging must be appropriate for the item, properly sealed, leak-resistant when applicable, strong enough for normal transportation, clearly labeled when required, prepared to maintain any required conditions, free from visible damage or contamination, and compliant with applicable rules and sender protocols.

Special Handling Disclosure

Clients must disclose special requirements before Vital Freight accepts the delivery. Examples include refrigeration or frozen storage, specific temperature ranges, temperature monitoring, biohazard or infectious contents, hazardous materials, fragile equipment, upright-only transportation, light sensitivity, security seals, restricted access, chain-of-custody documentation, and authorized-recipient requirements.

Temperature-Sensitive Items

Vital Freight does not guarantee temperature maintenance unless the required range, equipment, monitoring method, packaging, contingency process, and documentation have been accepted in writing. The sender remains responsible for preparing the item in appropriate validated packaging unless a written agreement assigns that responsibility to Vital Freight.

Damaged or Improper Packaging

Vital Freight may refuse any package that is open or unsealed, leaking, crushed or visibly damaged, incorrectly labeled, contaminated, improperly packaged, unsafe to handle, or different from the disclosed contents.

Prohibited or Restricted Items

Vital Freight does not knowingly transport illegal drugs or contraband; firearms, ammunition, or explosives; stolen property; cash or negotiable bearer instruments; radioactive, hazardous, regulated-medical-waste, or infectious materials without specific authorization; human remains; organs, tissue, specimens, or biological materials that have not been approved in advance; unlabeled, leaking, damaged, or unsafe packages; or any item prohibited by applicable law. Additional restrictions may apply based on insurance, training, route, equipment, or company policy.

Cancellation and Rescheduling Policy

Client Cancellations

A client may cancel a delivery by contacting Vital Freight through an approved communication method. Suggested fees to be finalized: before driver assignment [no fee or amount]; after driver assignment [fee]; after dispatch [fee or %]; after arrival at pickup [full or partial charge]; failed pickup caused by client [fee].

Rescheduling

Requests to reschedule are subject to availability. A new quote may be required if the route, date, time, item, destination, or service requirements change.

Late Changes

Vital Freight may charge for destination changes, additional stops, added mileage, increased item size or quantity, extended waiting time, after-hours adjustments, return trips, and redelivery attempts.

Vital Freight Cancellations

Vital Freight may cancel or reschedule service when performance would be unsafe, unlawful, outside company capabilities, or prevented by circumstances beyond reasonable control. When possible, the client will be notified promptly.
